Guidelines For Meeting Room Use

John Barton Payne Community Room

  1. Occupancy is limited to 100 persons by order of the Town of Warrenton Fire Marshal.
  2. A non-refundable fee is charged for use of the room. However, a credit (good for one year) will be granted if two business days’ notice of cancellation is given. Please consult the library’s fines and fees schedule for rental rates.
  3. Applicants will be charged for any damage to the building or furnishings. 
  4. The library reserves the right to request a deposit if it anticipates that an event may result in more than normal wear on the building. The deposit will be returned if the building is found in good repair at the conclusion of the event.  If damage is incurred beyond normal wear covered by the deposit, applicants will be charged for any necessary repairs.  Please consult the library’s fines and fees schedule for the deposit amount required.
  5. There is no designated parking for the meeting room.  Parking is available on nearby streets and in public lots.
  6. Smoking is prohibited.  Use of the fireplace or open flames for decorative purposes is also prohibited. 
  7. Use of the kitchen must follow posted guidelines. 
  8. Applicants that plan on serving alcoholic beverages must contact the Alcoholic Beverage Control Board and obtain all required permits.  Applicants must comply with all rules and regulations regarding the serving of alcohol.
  9. Storage facilities are not provided.
  10. In the event of inclement weather, the County of Fauquier and/or the Fauquier County Public Library will not be responsible for snow or ice removal.  Applicants must accept full responsibility for safely clearing walkways to the hall and must further agree to hold harmless and indemnify the County, its departments, and employees for any claims against them which may arise out of their failure to do so.

Bealeton Depot

  1. Occupancy may range from 57-70 (depending on type of room set-up) by order of the Fauquier County Fire Marshal.

Warrenton Program Room/Bealeton Quiet Study Room

  1. Each room, when not reserved for library use, may be booked for a two-hour block of time up to one month in advance by patrons who serve as volunteer tutors (i.e. literacy, English-as-a-second-language, graduate equivalency diploma).
  2. There is no charge for reserving either room.
  3. If not reserved by the library or a volunteer tutor, the room may be used for quiet study on a first-come-first-served basis for two-hour blocks of time. No bookings for quiet study will be accepted in advance (i.e., on Monday for use on Wednesday or at 10:00am for 7:00pm use the same day). Patrons who wish to use the room for a longer period of time may continue to use the room at the end of each two-hour period, so long as no one else is waiting.
  4. The branch manager may authorize advance booking in special situations.
