Topic:            

A Resolution Authorizing the County Administrator to Award Contracts for Roofing Replacement at Warrenton Community Center Main Building and “Building C”

Topic Description:

On July 31, 2008, six bids were opened for roofing replacement of portions of the building complex at Warrenton Community Center located at 430 East Shirley Avenue, Warrenton.  The project architect and staff have recommended award to Rayco Roofing, the lowest responsible bidder.  This bidder has previously performed multiple successful projects for the County and School Division and recent references are being checked.  It is anticipated that a recommendation to award this contract will be available by the Board of Supervisors meeting on August 14, 2008.

As the Board of Supervisors is aware, the roof replacement over Building C is necessary due to wind damage of the existing roof during a storm on June 4, 2008.

Alternates for Buildings A and B will not be accepted at this time due to minimal funds available and existing project list.

Requested Action of the Board of Supervisors:

Consider adoption of the attached resolution.

Financial Impacts Analysis:

Funding through the Major Systems Replacement (MSR) fund is available, including remaining rollover funds from Fiscal Year 2008.  The known contract amount is $238,098.00.  Available unencumbered funding within MSR is $170,590.00, with expected roll-over funding of $237,638.00, providing a total available amount of $408,228.00, which is sufficient to cover this project.

A request for this roll-over balance to be approved has been submitted to the County Budget Office and, as in past years, is expected to be approved.
