Use of Meeting Rooms

The Fauquier County Public Library maintains two large meeting rooms, the John Barton Payne Community Hall, at 2 Court House Square in Warrenton and the former Bealeton depot, located adjacent to the Bealeton branch library. The meeting rooms are meant to further the library’s mission by facilitating the exchange of information and ideas. To that end, these rooms are used primarily for library-sponsored programs and activities that supplement and enhance the library’s provision of services. Use by Fauquier County government agencies is also supported. As available, the John Barton Payne Community Hall or the Bealeton depot may be rented for meetings or other gatherings. Priority for use will be given to non-profit groups engaged in educational, cultural, intellectual, charitable, or civic activities based in Fauquier County. Groups may be asked to provide documentation of non-profit status.

Except for library and library-related programs, groups may not use the meeting room more than once a month; limited series of weekly or daily meetings may be scheduled at the discretion of the library director. The meeting room may be reserved up to ninety days in advance. As needed, an exception for single one-time events may be made at the discretion of the director. Fees and guidelines for the use of the rooms are established by the Library Board of Trustees and are reviewed as needed. A copy of the fee schedule and guidelines will be provided with each application for meeting room use.

Groups using the meeting rooms are required to set up for their meeting, return furniture and equipment to its original locations, and leave the rooms clean and in good condition. No admission may be charged for a program held in a library meeting room other than to recover funds for that specific event.

Use of the rooms by any particular group does not constitute endorsement by the Fauquier County Public Library of the group's policies or beliefs. Publicity for programs must state clearly the name and address of the organization or the name and telephone number of the organization contact person. The publicity for a meeting must not state or imply that the program is jointly sponsored by the library. Groups should not advertise use of the meeting room until final approval and final confirmation occur.

Groups failing to comply with any part of this policy or established procedures may be denied further use of the meeting room.  A denial may be appealed to the Library Board.

The library also maintains a small program room in the Warrenton library and a quiet study room in the Bealeton library.  These rooms may be used for quiet study or tutoring when not in use by the library.
